Create your school account

A complete walkthrough of registering as a school owner, verifying your email, and getting your first school ready to open.

Everything on MySchoolPilot starts with a school owner account. The owner account is the top-level account that owns your school — or several schools if you run a group. It is deliberately kept separate from the day-to-day school administrator account, so that ownership of your data never depends on one member of staff remaining at the school. This guide walks through the whole journey, from the registration form to the moment your school is ready for its first administrator to sign in.

Before you begin

Registration only takes a few minutes, but having the following ready will save you from going back to correct details later:

  • A work email address you will keep long term. This becomes your owner login and receives verification and billing messages.
  • The official name of your school as you want it to appear on report cards, invoices, and receipts.
  • Your country and state or region, which we use to suggest sensible defaults for currency and date format.
  • Your institution type — for example nursery, primary, secondary, combined, or college.
  • A phone number where our team can reach you if there is a question about your account.

You do not need student lists, staff records, fee amounts, or a timetable yet. Those all come later, during Quick Start, and none of them block registration.

Step 1 — Open the registration form

  1. Go to the MySchoolPilot website.
  2. Choose Start School Pilot (you may also see it described as School Owner registration).
  3. The registration form opens. This is the owner form — it is not the same as the school login page your staff will use later.

Step 2 — Fill in your details

  1. Enter your full name exactly as you would like it to appear on correspondence.
  2. Enter your work email and phone number.
  3. Enter your school name. If you run a group, use the name of the first school you want to set up — you can add more schools later from the same owner account.
  4. Select your country and state or region.
  5. Select the institution type that best matches your school.
  6. Choose a password. Use something strong and unique, and store it somewhere safe. This password protects ownership of the school.
  7. Submit the form.

Tip: take a moment to check the spelling of your school name before submitting. It is used in several places across the product, and correcting it later means updating documents your families may already have seen.

Step 3 — Verify your email

Immediately after you submit the form we send a verification message to the address you entered. Your account is not fully usable until you confirm it.

  1. Open your inbox and look for the verification email.
  2. Click the confirmation link inside it.
  3. You are returned to MySchoolPilot with your email confirmed.

If the email has not arrived after a few minutes, check your spam or promotions folder, confirm you typed the address correctly, and use the option to resend the verification message. Some school email systems quarantine messages from new senders, so if nothing arrives at all, try an address on a different provider or ask your IT contact to release the message.

Step 4 — Sign in to your owner dashboard

Once your email is verified, sign in using the School Owner login. You land on your owner dashboard, headed “Your schools”. This is your home base as an owner, and it is intentionally simple: it lists the schools you own and the actions available for each one.

What you will see

  • A card for each school you own, showing its name and current status.
  • A status indicator while your school is being prepared. Setting up a brand-new school takes a short while; the card updates as it progresses.
  • An option to open the school once it is ready.
  • An option to create the school administrator — the account that will actually run the school day to day.
  • An option to add another school, which you can use at any time if you manage more than one campus or institution.

While the school is still being prepared, some options stay unavailable. This is normal. Wait for the card to show that the school is ready, refreshing the page if you have left it open for a while.

Step 5 — Note your school login address

Each school gets its own login page — a school link or subdomain that belongs to that school alone. This is the address you will share with administrators, teachers, students, and parents. Your owner login is not used by anyone else at the school. Copy the school link somewhere convenient now; you will need it in the very next step, when you create your administrator.

Common issues

The verification email never arrived

Check spam, confirm the spelling of the address, and resend. If your school domain blocks unfamiliar senders, register with a different address you control, then update your contact details afterwards.

My school still shows as being prepared

Give it a little longer and refresh the dashboard. If the status has not changed after a reasonable wait, contact us through the website Contact page with your school name and owner email.

I registered with the wrong school name

Most naming and branding details can be corrected during Quick Start, in the school profile step. Correct it there before you invite staff or send anything to families.

I am not sure whether to register as an owner or wait for an invitation

If you are the person responsible for the school signing up, register as the owner. If someone at your school has already registered, ask them to create an administrator account for you instead — do not create a second owner account for the same school.

Good practice

  • Keep your owner email and password secure. Owner access controls administrator setup, plan changes, and ownership of the school.
  • Do not share the owner login with staff. Create a separate administrator account for whoever runs the school day to day.
  • Use an address that survives staff changes — a role-based school address is often safer than a personal one.
  • If you run a group of schools, register once as an owner and add each school from the same dashboard rather than registering repeatedly.
