Complete Quick Start

Work through the nine-step guided checklist that makes your school ready for teaching, fees, and portal access.

Quick Start is the guided checklist an administrator sees after signing in to a new school for the first time. It walks you through the decisions and records that everything else depends on — the calendar, the class structure, the people, and the money. You can leave and return at any point; your progress is saved. If you dismiss it, you can restart it later from School Management.

How the checklist behaves

  • Steps are designed to be completed in order, because later steps depend on earlier ones.
  • Several steps are optional and can be left until you have the information you need.
  • Each step shows whether it is complete, so you can see at a glance what remains.
  • Nothing you do in Quick Start is sent to families. Invitations and invoices are separate, deliberate actions taken later.

The nine steps

  1. School profile — the school’s official name, address, contact details, timezone, date format, currency, and logo. These details appear on report cards, invoices, and receipts, so get them right early.
  2. Academic calendar — create the current session and confirm its terms. Almost everything else in the product is filed against a session and term, so this step is the real foundation.
  3. Classes & subjects — set up your grades, levels and arms, and your subject catalogue. Templates are offered for common structures, which is usually faster than building from scratch and easy to edit afterwards.
  4. Staff & teachers (optional) — add the people who work at the school and assign them class or subject responsibilities. You can start with a handful of key staff and add the rest later.
  5. Students & guardians (optional) — add a few student records now to test the flow, then import the full roll when you are ready.
  6. Daily operations — school days, opening and closing times, how attendance is taken, and your basic period structure. This shapes attendance and timetable screens.
  7. Fees & payments (optional) — draft your fee structures. Drafting here does not bill anyone; invoices are generated later in Finance when you choose.
  8. Temporary passwords (optional) — decide how first-time users receive access and set their own password.
  9. Review & launch — confirm the checklist, review anything you skipped, and explore the advanced modules included in your plan.

How long it takes

A small school with a simple structure can finish the required steps in an afternoon. Larger schools usually spread it over a few days, mostly because gathering accurate staff, student, and fee information takes longer than entering it. Do the required steps first — profile, calendar, classes and subjects, daily operations — then return for the optional ones.

Tips that save rework

  • Confirm your term dates with the person who owns the calendar before creating them. Changing dates after scores and attendance exist is more disruptive.
  • Use the class templates and then rename, rather than creating every class by hand.
  • Add two or three test students and walk through a full cycle — assign a subject, enter a score, generate an invoice — before importing hundreds of records.
  • Decide your currency and date format once. These appear on financial documents families keep.
  • Do not invite everybody on day one. A small pilot group finds problems cheaply.

Common issues

A menu item I expected is missing

Menus reflect your subscription plan. If a module is not listed, it is usually not part of the current plan. Your school owner can review plan options from the owner portal.

Teachers say they have no courses

Teachers only see courses once class courses exist — that is, once a subject has been attached to a class and a teacher assigned. Complete the classes and subjects step, then assign teachers.

Nothing appears in the portal for students

The portal fills up as the school does. Results appear once scores are entered and published; fees appear once invoices are generated. An empty portal early on is expected.

I skipped a step and want to go back

Reopen Quick Start from School Management. Skipped steps remain available, and every area it configures can also be reached directly from the main menus.

What’s next

Once the active session, terms, classes, and subjects exist, move on to assigning teachers to class courses, then set up fees in Finance and start using the teacher and class teacher workspaces.
