Temporary passwords and first login
How first-time users sign in with a temporary password and set one of their own.
Temporary passwords let a school give new users access quickly and securely. The user signs in once with the password the school issued, then immediately chooses a private password of their own. From that point, only they know it.
For administrators: setting the policy
- Configure your temporary-password approach during Quick Start, at the temporary passwords step.
- You can revisit and change this later in your school settings.
- Decide how first-time users will receive their details and who is responsible for issuing them.
- Agree what to do when someone forgets their password after first login.
For administrators: issuing access
- Create the user’s record — staff, student, or guardian.
- Issue their temporary password according to your policy.
- Send the school login link so they arrive at the right page. This avoids the most common first-login failure.
- Share the password securely. Sending the link by email and the password by a separate channel is a sensible habit.
- Explain that they will be asked to set their own password at first sign-in.
- Keep a simple record of who has been issued access, so you can follow up with anyone who has not signed in.
Rolling out to a whole school
- Start with staff. Teachers who know the portal can help families.
- Then one class of families as a pilot, before the whole school.
- Send clear instructions — the login link, what to expect, and who to contact for help.
- Expect a wave of questions in the first few days and plan office cover for it.
For staff, students, and parents: first login
- Open the school login page using the link your school gave you. Do not use the School Owner login.
- Enter your username or email and the temporary password you were given.
- You will be prompted to create a new password.
- Choose something strong that you do not use on other sites, and that you will remember.
- Confirm the new password and continue.
- You land in your portal or workspace. Your temporary password no longer works.
Choosing a good password
- Make it long — length matters more than complicated symbols.
- Do not reuse a password from another site.
- Avoid obvious choices such as your name, your child’s name, or the school name.
- Keep it private. School staff will never need to ask you for it.
- Store it in a password manager or somewhere genuinely secure if you are likely to forget it.
Common issues
My temporary password does not work
Check you are on your school’s login page, type the password rather than pasting it, and watch for confusable characters. If it still fails, ask your school to reissue it.
I was not asked to set a new password
You may have already completed first login previously. Use your own password, or reset it if you cannot remember.
I set a new password and forgot it immediately
Use Forgot password on the login page, or ask your school office to reset your access.
I never received any details
Contact your school office. Check the email address they hold for you is correct.
Someone else knows my temporary password
Sign in and change it straight away, then tell your school office.
