Subjects, class courses, and teachers
Link subjects to classes and assign the teachers who will teach and assess them.
A class course is the point where three things meet: a subject, a class, and the teacher responsible for it in the current session and term. Class courses are what populate the teacher workspace, what score entry is attached to, and what appears on a report card. Until they exist, teachers sign in to an empty workspace.
Step 1 — Maintain your subject catalogue
- Open Courses under School Management.
- Add each subject your school teaches, using the name you want printed on report cards.
- Keep the catalogue tidy — one entry per subject, avoiding near-duplicates that confuse reporting.
- Retire subjects you no longer teach rather than deleting history.
Tip: agree naming conventions before you start. Mixed styles across subjects look untidy on printed reports and make analytics harder to read.
Step 2 — Attach subjects to classes
- Go to Sessional Activities → Class Courses.
- Select the class you are configuring.
- Add each subject that class studies this session.
- Repeat for every class. Where classes share a curriculum, work through them in order so nothing is missed.
Step 3 — Assign teachers
- For each class course, choose the teacher responsible.
- Save. The course now appears in that teacher’s workspace.
- Where a subject is shared, confirm with your team who owns score entry so marks are not entered twice.
- Leave the teacher blank only as a temporary state — an unassigned course collects no scores.
What you’ll see
- Teachers see their courses listed when they open the Teacher workspace.
- Each course opens a menu including Students, Assessments, Assignments, Online Tests, Attendance, Materials, and Timetable.
- Students see their subjects in the portal.
- Class teachers see all the class’s subjects on the broadsheet.
Tips
- Set up class courses before term begins. Teachers cannot record anything without them.
- Check coverage class by class rather than subject by subject; gaps are easier to spot that way.
- Review after staffing changes. When a teacher leaves or swaps classes, reassign their class courses so score entry continues.
- Match the report card. The subjects attached here are the ones that appear on reports, so the list should reflect what is genuinely taught and assessed.
Common issues
A teacher signs in and sees nothing
They have no class courses for the active session and term. Assign them under Class Courses.
A subject is missing from a report card
It was never attached to that class as a class course, or it was attached to a different class. Check Class Courses for the class in question.
The wrong teacher is entering scores
Update the teacher on the class course. Existing scores stay with the course, not the individual.
We share a subject between two teachers
Agree who enters scores and assign that person. The other teacher can still contribute through assignments and materials for the class.
What’s next
Once class courses exist, teachers can begin recording continuous assessment and exam scores, and class teachers can review the whole class on the broadsheet.
