Compile and publish report cards
Take a class from a completed broadsheet to published results that families can open in the portal.
Report cards are the most visible thing your school produces. They are usually compiled by the class teacher and released to families only when the school is ready. Because publishing is a deliberate step, you can prepare in peace and reveal everything at once.
Step 1 — Confirm marks are complete
- Open the Broadsheet for your class in the Class Teacher workspace.
- Scan for blank cells and chase the relevant subject teachers.
- Check for values that look unlikely and query them before publishing.
- Confirm affective and psychomotor ratings are recorded if your template requires them.
It is far easier to fix a mark now than to explain a corrected report to a parent later.
Step 2 — Compile the report cards
- In the Class Teacher workspace, open Report Cards.
- Select the term you are reporting on.
- Work through the class one learner at a time.
- Add the class teacher comment. Where comment suggestions are offered you can use one as a starting point and edit it into your own words.
- Add any principal or head teacher comment your process requires.
- Preview the card to check it reads well and fits the page.
Step 3 — Publish
- Publish an individual student when you want to release one card — useful for a correction or a late arrival.
- Use Publish all to release the whole class at once.
- Check Result Publication and portal visibility settings so results become visible at the moment your school intends.
- Tell families results are available, for example through a newsletter or campaign.
What families see
- Students and parents open Results in the portal.
- Published report cards are listed by term and can be downloaded as PDFs.
- Parents with more than one child use the child switcher to move between them.
- Unpublished results do not appear at all, so nothing leaks early.
Tips
- Preview one card fully before compiling the class. If the template needs adjusting, you want to know at card one, not card forty.
- Write comments that are specific. A sentence about the learner is worth more than a generic phrase repeated across the class.
- Coordinate release across classes so families with several children do not receive results piecemeal.
- Keep a checklist of classes published each term.
Common issues
A subject is missing from the card
The subject was not attached to the class as a class course, so no marks exist for it. An administrator fixes this under Class Courses.
Parents say they cannot see results
Check that the cards were published and that portal visibility for results is switched on. Also confirm the parent is linked to the right child.
I published too early
Ask an administrator about result publication controls for the class. Correct the underlying mark first, then republish the affected card.
The comment box is empty for everyone
Comments are entered per learner. Suggestions, where offered, are a starting point rather than a replacement for your own words.
End of session
At the end of the year, Sessional Reports bring the terms together into a summary of the whole session, with space for principal comments where your process requires them. Once reporting is complete, use Academic Progression to move learners into the next session.
